Which types of exchange does UP FAMNIT offer?
UP FAMNIT students may select between exchanges for the purpose of studying or doing their traineeship (depending on the wishes and needs of the individual). There are different mobility programs for both types of exchange.
For how long can I go on exchange?
The duration of the exchange depends largely on the program under which the mobility takes place.
The most common mobility program, Erasmus+, allows exchanges for the purpose of study from 3 to 12 months, and exchanges for the purpose of traineeships from 2 to 12 months. Furthermore, it is necessary to take into account the number of months that your home institution can co-finance through their budget. The number of months for co-financing depends on the proposal of the UP Committee for Inter-university and International Cooperation and the approval of the UP Senate. In the past common practice was to provide 5-month funding in the case of a study mobility and 3-month funding in the case of traineeship mobility.

At which institution can I do an exchange?
The choice of the institution where the exchange can take place depends on the type of exchange - that is, whether it is an exchange for the purpose of study or traineeship. The most common program that offers the possibility of both types of exchanges is Erasmus+.
For a study exchange, students can apply at an institution with which UP FAMNIT has established an agreement and offers a study program related to the student’s own study program at UP FAMNIT. A list of established agreements is available HERE.
For traineeships, students have an obligation to find a host institution by themselves (thus established agreements between universities are not a condition for the exchange, but can be of great help). It is important to keep in mind that the selected institution can only be in the country for which you submitted your application and for which you were granted co-financing.

By when do I have to apply for an exchange?
You need to apply for the exchange by the announced application deadline, most of which depend on the specific program and the published call.
The Erasmus+ call for exchanges in the EU Member States, Norway, Iceland, Liechtenstein, Turkey and Northern Macedonia is usually published in winter (December, January) and covers exchanges in the following academic year.
The Erasmus+ ICM call for exchanges outside Europe is usually published in autumn (October, November), and the application deadline is usually open until all offered places are filled.
The CEEPUS program usually sets application deadlines of 15 June for the winter semester and 30 October for the summer semester – this applies to exchanges within the CEEPUS network. For so-called freemover exchanges, the application deadline is usually November 30 (depending on the information on available funds).
How do I apply for the exchange?
Before each exchange, it is necessary to apply for the selected mobility program.
The most common mobility program is Erasmus+. Every year, the University of Primorska prepares and publishes a call for exchanges. Via the ŠIS system, candidates can apply for the call by the specified deadline. After the application and completion of the call, the UP FAMNIT Committee for International Mobility reviews all received applications. After this process, all candidates are informed of the results of the call.
For study exchanges, the UP FAMNIT International Office nominates the candidates whose application has been approved to their selected institution. The foreign institution then normally informs the candidate of further procedures for successfully applying to the foreign institution. Before leaving for the exchange, it is also necessary to arrange all the needed documentation and agree on the selection of courses you will take abroad.
For traineeship exchanges, the candidate can, if their application is successful, start looking for a host institution (there is no nomination procedure, as students are looking for a host institution themselves). Before leaving for the exchange, it is necessary to arrange all the necessary documentation and agree on the recognition of the traineeship, if the student wants to do it as part of a mandatory traineeship within the study program.
When do I need to prepare a Learning Agreement?
The Learning Agreement (for both study and traineeship exchanges) needs to be agreed upon, prepared and signed BEFORE departing on the exchange. The Learning Agreement is also a condition for concluding the Agreement for the Allocation of Financial Resources. These two documents are usually arranged approximately 1 month before the scheduled departure for the exchange.
How and with whom do I arrange the scholarship?
For the Erasmus+ program, the UP Project Office (erasmus.studenti@upr.si), which is also responsible for awarding the scholarship, informs the students about the timing of the arrangement and signing of the Financial Agreement (all other matters not related to the allocation of financial resources are arranged by the students with the International Office at their home institution).
For mobilities under the CEEPUS program, the Financial Agreement is agreed upon in cooperation with the national agency CMEPIUS.
For other mobility programs, all financial arrangements are determined in accordance with the call. In case of questions, please turn to the UP FAMNIT International Office.
Can I go on an exchange to a country outside of Europe?
The Erasmus+ Program features two “sub-programs”: Erasmus+ and Erasmus+ ICM. Erasmus+ facilitates exchanges in EU Member States, Norway, Iceland, Liechtenstein, Turkey and Northern Macedonia. Erasmus+ ICM offers exchanges outside of Europe (eg. America, Australia, New Zealand, China, Russia …). As these are slightly more remote and specific countries, exchanges to these countries are only available if the home faculty obtains funding for the exchange and thus enables the mobility. In addition to the existing Erasmus+ program, mobility to a country outside of Europe can be enabled through bilateral scholarships and/or scholarships offered by AD futura.
Is health insurance included under the mobility program?
The type of insurance depends mainly on the individual mobility program.
The Erasmus + program does not offer insurance, so we advise students to verify the coverage of their own health insurance for countries abroad and arrange additional insurance if necessary.
Under the CEEPUS program, some countries offer insurance for foreign students and some do not (need to check on the CEEPUS website).
